Customize information accessible by invited Reviewers

Permissions in Reviewer RoleManager allow the journal office to designate that certain information can be made available to the invited Reviewers BEFORE they agree to review a submission.  The journal office can show the invited Reviewer:  the Abstract, the entire paper, some other Submission Item, the Author team, Keywords and/or the Classification list.

 

The Reviewer can access the Abstract onscreen by clicking on the ‘View Abstract’ link in the ‘New Invitations’ folder on the Reviewer Main Menu.

 

For example:  a Reviewer receives an e-mail invitation to review a submission.  That e-mail invitation has a link to the EM site (and his username and password).  The Reviewer goes to EM to agree to do the review or decline the invitation to review.  When he gets to the EM site, he also finds that he can access the submission’s Abstract, as well as the names and affiliations of the Author team.  This information helps him decide if he would like to take on this review assignment.

 

To Configure:  Go to the RoleManager in the System Administrator section, click on the Reviewer Role, and click on ‘Edit’ for each of the defined Reviewer roles.  You will find seven permissions at the top of the functions list, under the heading ‘Permissions for New Reviewer Invitations’.  Click the checkbox next to each permission you want to enable:

 

1)     View Abstract Text

2)     Download Manuscript (Reviewer PDF)

3)     Download Submission Item [ITEM]

4)     View Corresponding Author and Affiliation

5)     View All Authors and their Affiliations

6)     View Keywords

7)     View Classifications

 

The Abstract can also be inserted into letters, such as the invitation letter that goes to Reviewers.  The merge field is %ABSTRACT%.

 

To Configure:  This merge field can be added to any letter that is associated with a submission (this excludes Batch E-mail, and letters sent out at the 'New User Registers' and 'Forgot Username and Password' events).

 

Note:  The ‘Download Submission Item’ feature makes one element of the submission (one Submission Item) available for download by the invited Reviewer

 

To identify which Item is available, the journal can select one Submission Item from a drop-down box in Reviewer RoleManager that lists all of the Submission Items available to the Reviewer.  For example, if you want the Reviewer to be able to download the 'Author’s Response to Reviewers' document, then this item would have to be a Submission Item that is not excluded from the Reviewer PDF.

 

The Reviewer will then have a 'Download [ITEM]' link on the submission record in the 'New Invitations' folder.
